Why did they
need libnova?

The Churchill Archives Centre, renowned for its extensive holdings documenting the life and legacy of Sir Winston Churchill and other prominent figures, faced a critical challenge: enabling global access to its digitized and born-digital materials.

With researchers worldwide eager to explore these archives, the lack of a centralized, accessible platform limited the reach and usability of these valuable resources. Through the implementation of Libnova’s digital preservation and OpenAccess platform, the Centre not only preserved its archival materials but also transformed how they are accessed and utilized by audiences worldwide.

The Churchill Archives Centre faced several challenges in managing its digitized and born-digital materials. Dispersed content was spread across platforms like SoundCloud, Flickr, and social media, which, while functional for specific purposes, were unsuitable for hosting complete archival files that often included hundreds of images or documents requiring context for full comprehension. Additionally, limited accessibility hindered the sharing of certain media types, and born-digital content, such as transcripts from the British Diplomatic Oral History Programme, lacked centralized, full-text search functionality. These issues were compounded by contextual challenges, as highlights from collections could be shared, but the broader context within full archival files was frequently lost. Furthermore, the absence of seamless integration with existing catalogues and metadata systems led to manual updates and duplicated efforts. To address these issues, the Churchill Archives Centre implemented Libnova’s preservation platform, incorporating its OpenAccess component to deliver a unified solution for both preservation and access.

Centralized Hosting

A unified platform now hosts diverse media types, with OpenAccess offering specialized viewers for optimal display and usability.

Improved Search

Full-text search now enables users to find transcripts and born-digital documents directly from the main site search bar, while catalogue data is seamlessly integrated and auto-updated, minimizing manual effort.

Improved User Navigation

Despite initial hesitation, Oxford transitioned to cloud storage, benefiting from simplified management, lower costs, and enhanced security with built-in data protection features.

Automated Billing Integration

The preservation system integrated with Oxford’s SAP-based billing software, automating usage tracking and invoice generation to reduce administrative workload and enhance accuracy.

Training and Onboarding by IT Services

IT Services assumed responsibility for training and onboarding individual schools, ensuring a smooth transition and consistent user experience.

Metadata Mismatch

Libnova customized the metadata schema in Libsafe to include UNESCO-specific elements, providing flexibility and ensuring better organization of files.
