Why did they
need libnova?

UNESCO, one of the world’s leading organizations in cultural heritage preservation and promotion, faced a significant challenge in managing and preserving its digital archives.

Between 2018 and 2022, UNESCO utilized a digital archiving system that, at the end of the contract, returned 5 million files in an unreadable format. This issue, combined with data scattered across local servers not compliant with current security standards, created an immediate risk of critical information loss. Additionally, the records management team had limited human resources, making the rapid adoption of a new solution even more challenging.

Faced with the need for a swift and effective solution, UNESCO selected Libsafe, Libnova’s digital preservation platform. Establishing a phased implementation strategy to address the most urgent preservation needs, starting with legacy records and data from local servers.

To efficiently organize the collections, UNESCO evaluated two approaches:

  1. Basing the organization on its current series and sub-series, mirroring the structure of historical paper archives.
  2. Organizing collections by data source, respecting the original provenance of the information.

 

UNESCO chose the second approach as it maintains the original context of the data, facilitates scalability, and improves permissions management. Additionally, Libnova customized the metadata schema to meet UNESCO’s specific needs, integrating elements from physical archives and unique UNESCO attributes.

Recovery of Unreadable Data

The Libnova team reorganized and realigned the metadata, enabling full recovery of the files and restoring access to essential information.

Security Risks with Dispersed Data

Libsafe centralized the data in a secure Amazon Web Services (AWS) infrastructure, eliminating risks and ensuring compliance with international security standards.

Limited Human and Budget Resources

Libsafe enabled a modular and gradual implementation, prioritizing the most urgent data and adapting to the resources available.

Limited Scalability

Libsafe provided a scalable and flexible structure, allowing new data sources to be added without the need to reorganize existing collections.

Access Permissions Challenges

Libsafe implemented a robust permissions management system, enabling precise and secure control of file access according to UNESCO’s requirements.

Metadata Mismatch

Libnova customized the metadata schema in Libsafe to include UNESCO-specific elements, providing flexibility and ensuring better organization of files.
