its diverse academic community.

The University of Oxford faced several challenges in managing digital preservation. Decentralized preservation efforts led to fragmented processes and significant duplication of resources, as each college operated independently. Additionally, the high costs of the existing preservation service made it unaffordable for many schools, while complex billing and resource management added considerable administrative burden due to manual invoicing processes. Although there was an initial preference for on-premises storage, it proved to have limitations in scalability, ease of management, and cost-efficiency. To address these issues, Oxford IT Services implemented Libnova’s digital preservation platform, creating a centralized solution that reduced costs, streamlined billing, and offered a more scalable and efficient alternative through cloud-based storage.

Centralized Service Offering

A shared service model was established, enabling schools to access the preservation platform as needed. Schools could easily create accounts and manage their digital preservation independently within the central framework, optimizing resource allocation.

Libnova’s proposal was 80% more cost-effective than the previous solution, providing a compelling financial incentive.

Despite initial hesitation, Oxford transitioned to cloud storage, benefiting from simplified management, lower costs, and enhanced security with built-in data protection features.

The preservation system integrated with Oxford’s SAP-based billing software, automating usage tracking and invoice generation to reduce administrative workload and enhance accuracy.

Training and Onboarding by IT Services

IT Services assumed responsibility for training and onboarding individual schools, ensuring a smooth transition and consistent user experience.

Metadata Mismatch

Libnova customized the metadata schema in Libsafe to include UNESCO-specific elements, providing flexibility and ensuring better organization of files.
